Hyndford Hydration handles personal information in accordance with British Columbia's Personal Information Protection Act, commonly referred to as PIPA. PIPA governs how private-sector organizations in British Columbia collect, use, disclose, retain, and protect personal information.
Canada's Personal Information Protection and Electronic Documents Act, commonly referred to as PIPEDA, may also apply to personal information transferred across provincial or national borders in the course of commercial activity.
We collect and handle personal information with care. We do not sell personal information to third parties.
Who we are
Hyndford Health Ltd., operating as Hyndford Hydration, is a nurse-led mobile and partner-clinic IV and IM therapy service based in Nanaimo, British Columbia.
Services are provided under Hyndford Hydration's Medical Directive and Clinical Protocol | IV and IM Therapies, authorized by a British Columbia-licensed Nurse Practitioner, and in accordance with applicable BCCNM standards.
What personal information do we collect?
We may collect the following categories of personal information.
Contact and booking information

- Preferred name and pronouns, when provided

- Appointment date, time, location, and service requested
- Mobile-visit access, accessibility, and safety information

Why do we collect personal information?
We collect and use personal information for purposes including:

We collect only the personal information reasonably necessary for the purposes identified in this policy or otherwise explained to you at the time of collection.
We will not use personal information for a materially different purpose unless we obtain additional consent or the use is otherwise permitted or required by law.
Consent and health information
Health information is sensitive personal information.
We collect health information with your consent through our intake, medical screening, nursing assessment, consent, and treatment processes.
You may withdraw consent to the collection, use, or disclosure of personal information, subject to reasonable notice and any legal, professional, clinical, or contractual restrictions.
Withdrawal of consent may limit or prevent our ability to assess you, provide treatment, document care, communicate essential clinical information, or meet our professional obligations.
Withdrawal of consent does not require us to destroy clinical records that we are legally or professionally required to retain.
How we store and protect your information
Our primary clinical and practice-management platform is Zanda Health.
Clinical records, health-screening information, bookings, treatment documentation, communications, and certain payment or transaction information may be stored or processed through Zanda Health and its service providers.
Zanda Health states that it uses administrative, technical, and physical safeguards to protect information, including secure hosting, restricted access, encryption, monitoring, and security management practices.
Hyndford Hydration remains responsible for personal information under its control, including information processed or stored by service providers on our behalf.
We use safeguards appropriate to the sensitivity of the information, including:
- Role-based access controls
- Password and account protections
- Secure electronic record systems
- Encryption and secure transmission methods where available
- Confidentiality requirements
- Restricted access to clinical information
- Device-security practices
- Record-access and activity logs where supported
- Secure disposal or de-identification when retention is no longer required
No electronic system or method of transmission can be guaranteed to be completely secure.
Storage and access outside Canada
Zanda Health is operated outside Canada, and some electronic records may be stored, processed, backed up, supported, or accessed outside Canada.
Information stored or accessed outside Canada may be subject to the laws of the jurisdiction where it is stored or accessed, including lawful access requests by foreign courts, regulators, law enforcement agencies, or government authorities.
We assess the privacy and security practices of service providers before entrusting them with personal information and limit the information shared to what is reasonably necessary for the service being provided.
Who may access your information?
Personal information is accessed only by authorized individuals who require it to provide care, support the service, meet professional obligations, or perform an authorized business function.
Hyndford Hydration
The owner and authorized Hyndford Hydration nurses may access information reasonably necessary to:
- Review health screening
- Assess treatment eligibility
- Obtain or clarify treatment authorization
- Provide and document care
- Communicate with clients
- Manage bookings, payments, and required records
- Respond to adverse events, complaints, or safety concerns
Access is limited according to the person's role and responsibilities.
Authorizing Nurse Practitioner
The authorizing Nurse Practitioner may access relevant health, screening, treatment, and follow-up information where required to:
- Determine treatment eligibility
- Authorize or clarify treatment
- Provide clinical oversight
- Review contraindications or adverse reactions
- Support safe care and quality assurance
Atlas Chiropractic
Authorized Atlas Chiropractic staff may have limited access to booking and payment functions where required to schedule appointments or process payments on Hyndford Hydration's behalf.
Atlas staff are not authorized to access Hyndford Hydration clinical notes, medical screening responses, treatment records, or other health information unless access is specifically required, authorized, and disclosed to the client.
Third-party service providers
We use third-party providers to support our services and website. These may include:
Zanda Health
Used for clinical records, health-screening forms, consent forms, bookings, client communications, practice management, and payment and transaction management. Information involved may include contact, booking, health, clinical, communication, and transaction information.
Payment service providers
Used to process payments, refunds, deposits, and transaction records. Information involved may include contact, billing, transaction, and payment information.
Google Analytics
Used to understand how visitors find and use our website. Information may include website activity, general location, device, browser, and technical information.
Google Tag Manager
Used to manage website analytics and tracking technologies. Information may include website and technical interaction data.
Meta technologies
Used to measure advertising effectiveness and understand website activity associated with marketing campaigns. Information may include cookie identifiers, browser or device information, and website interaction data. These technologies are not intended to collect clinical records or medical screening responses.
Cloudflare
Used for website security, traffic management, performance, and protection against malicious activity. Information may include IP addresses, devices, browsers, security events, and website traffic.
Third-party providers are permitted to use personal information only for authorized purposes or as otherwise permitted or required by law.
We do not sell, rent, or trade personal information for third-party marketing purposes.
Disclosure without additional consent
In limited circumstances, we may collect, use, or disclose personal information without obtaining additional consent where permitted or required by law. This may include circumstances where:
- Disclosure is reasonably necessary to respond to a medical emergency
- There are compelling circumstances affecting the health or safety of an individual
- Information is required for the medical treatment of someone who cannot provide consent
- Disclosure is required to contact a client's emergency contact or next of kin
- Information is required to report, investigate, or follow up on a serious adverse event
- Disclosure is necessary to meet professional or regulatory obligations
- Disclosure is required or authorized by BCCNM, another regulatory body, or applicable law
- We are required to comply with a court order, subpoena, warrant, or other lawful demand
- Information is required for a legal proceeding, insurance matter, investigation, or defence of a legal claim
- Disclosure is made to legal counsel representing Hyndford Hydration
- Disclosure is otherwise permitted or required under PIPA or another applicable law
Only information reasonably necessary for the applicable purpose will be disclosed.
Communications
We may communicate with you through Zanda Health, email, telephone, or text message. Service-related communications may include:
- Appointment confirmations and reminders
- Requests to complete required intake or consent documents
- Treatment and aftercare information
- Booking changes
- Payment or refund information
- Responses to questions or concerns
- Safety or adverse-event follow-up
- Important service or policy updates
You cannot unsubscribe from communications reasonably necessary for an existing appointment, treatment safety, clinical documentation, payment, legal compliance, or follow-up relating to care already provided.
Marketing communications
We will only send you promotional or marketing email where you have given express consent, or where we are permitted to do so under Canada's Anti-Spam Legislation on the basis of an existing business relationship.
Marketing consent is separate from your consent to treatment and separate from the service-related communications described above. It is always optional, it is never a condition of booking or treatment, and declining has no effect on your care.
Every marketing email we send identifies us, provides a contact address, and includes an unsubscribe link.
You can withdraw marketing consent at any time by using the unsubscribe link in any email or by contacting us. We will action it within 10 business days. Withdrawing marketing consent does not affect service-related communications about your appointments or your care.
Email and standard text messaging may not always be completely secure. Please avoid including unnecessary sensitive health information in unencrypted messages.
How long do we keep information?
We retain personal information only for as long as reasonably necessary to:
- Fulfill the purposes for which it was collected
- Provide and document care
- Meet BCCNM documentation and record-retention obligations
- Meet legal, taxation, insurance, contractual, and business requirements
- Respond to complaints, claims, audits, or investigations
Clinical records cannot necessarily be deleted simply because a client withdraws consent or requests deletion.
When information is no longer required for a legal, professional, clinical, or reasonable business purpose, it will be securely destroyed, deleted, or de-identified.
Your privacy rights
Under PIPA, you may:
- Ask whether we hold personal information about you
- Request access to your personal information
- Ask how your information has been used
- Ask which individuals or organizations your information has been disclosed to
- Request correction of inaccurate or incomplete personal information
- Withdraw consent for collection, use, or disclosure, subject to applicable restrictions
- Ask questions about our privacy practices
- Make a complaint about how we have handled personal information
You may also ask us to delete personal information that we are not legally, professionally, clinically, or reasonably required to retain.
Requests for access or correction must be made in writing and must provide enough information for us to identify the relevant person and records.
We will generally respond within 30 days, subject to any extension permitted by law. We may need to verify your identity before providing access or making a correction.
Children's privacy
Hyndford Hydration's IV and IM therapy services are currently limited to clients aged 19 or older.
We do not knowingly collect health information from minors for the purpose of providing IV or IM therapy.
Our website may be viewed by individuals of any age. If you believe a minor has submitted personal information without appropriate authority, contact our Privacy Officer using the details below.
Changes to this policy
We may update this policy to reflect changes in our services, technology, service providers, professional obligations, or applicable law.
The revision date at the beginning of this policy identifies when it was last updated.
Where a change materially affects how we collect, use, or disclose personal information, we will provide appropriate notice and obtain additional consent where required.

Cancellation and Rescheduling Policy
To ensure we can accommodate all clients fairly, the following applies to all appointments.
Standard appointments
Wedding and event bookings
Wedding and event bookings are subject to a separate structure, confirmed at the time of booking.
$99 booking fee retained

If your date changes unexpectedly, contact us as early as possible and we will do everything we can to find a solution.
Deposits
A deposit is required when you book and is credited toward your balance.
Any remainder refunded
Where a cancellation fee is larger than your deposit, the balance is charged to the payment method on file. Deposits for wedding and event bookings are handled under the separate structure above.
Travel
Travel outside Nanaimo city limits may incur a travel fee based on distance. Any travel fee is quoted and confirmed with you before your appointment is booked. Travel fees are treated as part of your booking total for the purposes of this policy.
Incomplete screening
We cannot treat you until your health screening and consent forms are complete and cleared. Your forms are sent to you when you book.
If your forms are still outstanding 24 hours before your appointment, we will contact you. If they remain incomplete, the appointment cannot go ahead and the standard late-cancellation fee applies, because the time has been held for you and can no longer be offered to anyone else.
If your booking is made less than 24 hours in advance, this deadline does not apply. We will tell you at the time of booking when your forms are needed.
If your screening identifies something that requires Nurse Practitioner review or medical clearance, and that review cannot be completed before your appointment, no fee applies. We will reschedule you.
Additional terms
- Cancellation fees are processed using the payment method on file.
- If exceptional circumstances arise, please contact us as soon as possible. Genuine emergencies are reviewed on a case-by-case basis.
- This policy applies to all individual Hyndford Hydration appointments, including home visits and clinic pop-ups. Large group bookings and events are subject to the separate structure above.
- Hyndford Hydration reserves the right to cancel or reschedule an appointment on clinical or safety grounds, in which case no fee will be charged.
- Where we cancel or reschedule an appointment for any reason of our own, no fee applies.

Concerns and Complaints
If something has not gone the way it should, we want to hear about it. Most concerns are resolved quickly once we know about them, and knowing lets us put things right for you and improve how we work.
You can raise a concern about any aspect of your care or your dealings with us, including clinical care, the conduct of a nurse, your treatment environment, billing, communication, or how your personal information has been handled.

Tell us what happened, when, who was involved if you know, and what outcome you are hoping for. If you would prefer to talk it through rather than write it down, say so and we will call you.

What happens next
If a concern is complex or requires review by the authorizing Nurse Practitioner, it may take longer than 30 days. If so, we will tell you before that point and explain why.
Our response will set out what we found, what we are doing about it, and what happens next. Where we have got something wrong, we will say so.
If you are not satisfied
You do not have to come to us first, and raising a concern with us does not affect any other right you have.

Adverse events
If you experience an adverse reaction or an unexpected effect after treatment, contact us as soon as possible so we can support you and document it properly. This is not a complaint and you will not be treated as though it is.
If you are experiencing a medical emergency, call 911 or attend your nearest emergency department. Contact us afterwards.
Photography and Social Media
We sometimes photograph or film our work for our website and social media accounts. This policy explains what we will and will not do, and what you can expect.
We ask first, every time
We will never photograph or film you, or anything identifying you, without asking you first and obtaining your separate written consent.
Consent for photography is separate from your consent to treatment. Declining has no effect whatsoever on your care, your booking, or what you pay. You do not need to give a reason, and you will not be asked for one.
What consent covers
Where you do consent, we will tell you at the time what we intend to photograph and where we intend to use it. Consent is recorded in your client file through our booking and records system.
Consent is specific. Agreeing to a photograph on one occasion is not agreement to any future photograph, and agreeing to one use is not agreement to another.
Withdrawing consent
You may withdraw consent at any time, for any reason, by contacting us.
On withdrawal we will remove the content from any platform we control, including our website and our own social media accounts, as soon as reasonably possible.
Once content has been published publicly, we cannot guarantee removal from copies, reposts, screenshots, or caches held by others or by third-party platforms. We will do what we can, but we cannot undo what has already been shared onward by someone else.
What we will not do
- Photograph or film you without your separate written consent
- Use any image or footage that identifies you in advertising without consent that specifically covers advertising
- Publish your health information, your treatment details, or anything about why you attended
- Sell or license images of you to any third party
- Use images of anyone under 19
- Photograph any other person present at your appointment without their own consent
Your own photographs
You are welcome to take photographs of your own treatment for your own use. Please do not photograph or film our nurse without asking, and please do not photograph anyone else present.
Testimonials and reviews
Reviews you post publicly on platforms such as Google or Facebook are public by your own choice, and we may share them. Where a review identifies you, we will not add any detail about your care that you did not include yourself, and we will not confirm or deny that you are a client if asked by anyone else.

We come to you. For a lot of our clients that is the whole point, because getting to a clinic is the hard part.
We want treatment to work for you regardless of mobility, sensory needs, communication needs, energy levels, or anything else about how your day goes.
Tell us what you need
Our mobile visit form asks about accessibility, communication, mobility, sensory, and positioning needs. Please use it. There is no need to explain or justify anything, and nothing you tell us affects your eligibility or your price.
If something is easier to say out loud than to type, call us and tell us instead.
What we can usually accommodate
- Treatment in whichever room works best for you, including in bed
- Positioning support, extra pillows, and time to get comfortable
- A support person, interpreter, or advocate present
- Low light, no scent, reduced noise, or minimal conversation
- Written information in advance rather than explanation on the day
- Extra time, breaks, or a slower pace
- Service animals, which are welcome
If what you need is not on this list, ask. The list is what comes up often, not a limit.
What we cannot do
We are honest about our limits. Our nurse may need to decline or relocate treatment where the environment does not allow care to be given safely, for example where there is no way to reach you in an emergency, or no clean and adequately lit space. This is a clinical safety judgement, not a comment on you or your home. Where we decline on these grounds, no fee applies and we will work with you on an alternative.

We aim to meet recognised web accessibility standards and to keep our site usable with a keyboard, a screen reader, and at larger text sizes. We are a small business and we will not always get this right.

Part Two — Clinical services
Nature of our services
Hyndford Hydration provides mobile and partner-clinic IV hydration and IM injection services. Our services are supportive in nature. They do not diagnose, treat, cure, or prevent any medical condition. Nothing provided by Hyndford Hydration constitutes medical advice, and our services are not a substitute for professional medical care.
If you are experiencing a medical emergency, call 911 or attend your nearest emergency department.
Eligibility
To receive services from Hyndford Hydration, you must:
- Be aged 19 or over
- Be located within our service area at the time of your appointment
- Complete our clinical health screening process honestly and in full
- Meet our clinical screening criteria as assessed by our nursing staff
- Not be experiencing a medical emergency
We reserve the right to decline or discontinue services to any client at any time where we determine it is not clinically safe or appropriate to proceed. This decision rests with our nursing staff and is final.
Health screening
All clients are required to complete a health intake and screening questionnaire before their first treatment. This information is used to assess your eligibility and ensure your safety. You are responsible for providing accurate and complete health information.
Where a client does not meet standard screening criteria, two options are available:
- A private consultation with our Nurse Practitioner for an additional fee to determine what is safe and appropriate
- A letter from your own physician confirming you are cleared for IV therapy services
Screening must be completed and cleared before treatment. We are unable to administer treatment to clients whose screening has not been cleared. Deadlines for completing your forms, and what happens if they are outstanding, are set out in our Cancellation and Rescheduling Policy.
Medical oversight
All treatments are administered under a valid medical directive from a BC-licensed Nurse Practitioner, in accordance with applicable BCCNM standards and BC health regulations.
Informed consent
Before any treatment is administered, your nurse will confirm your consent. By proceeding with treatment, you confirm that you have read and understood the information provided, that you have disclosed all relevant health information, and that you are voluntarily choosing to receive the service.
Geographic service area
Hyndford Hydration provides services in Nanaimo, Lantzville, Cedar, and surrounding areas. Travel to other locations on Vancouver Island may be available, subject to distance, staffing, and scheduling. Travel outside Nanaimo city limits may incur a travel fee based on distance, quoted and confirmed with you before your appointment is booked. Concerns and complaints
If you are unhappy with any aspect of our service, our Concerns and Complaints policy sets out how to raise it, what we will do, and how long we will take. It also explains your right to go directly to our regulator.
Right to refuse service
We reserve the right to refuse or discontinue services to any client where:
- Clinical screening has not been completed or cleared
- Our nursing staff determine it is not clinically safe to proceed
- A client is abusive, threatening, or behaves in a manner that compromises the safety of our staff
- Payment has not been received in accordance with our booking terms
Pricing and payment
All prices are listed in Canadian dollars. Prices are subject to change without notice. A deposit is required at the time of booking and is credited toward your balance. Payment is otherwise required in accordance with the terms confirmed at the time of booking. How deposits are treated on cancellation is set out in our Cancellation and Rescheduling Policy. For event and wedding bookings, payment terms are outlined at the time of enquiry.
Part Three — Cancellation
Cancellation and rescheduling of appointments, including wedding and event bookings, is governed by our Cancellation and Rescheduling Policy above. That policy forms part of these Terms.
Part Four — Limitation of liability
General limitation
To the fullest extent permitted by applicable law, Hyndford Health Ltd. shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of our website or services.
Clinical services
IV and IM therapy carries inherent clinical risks. These risks are explained as part of your informed consent process. By proceeding with treatment, you acknowledge that you have been informed of and accept these risks.
Hyndford Hydration takes all reasonable clinical precautions to ensure your safety. However, we cannot guarantee outcomes, and adverse reactions, while rare, can occur.

We accept no liability for any loss or damage arising from your use of, or inability to use, our website or any content on it.
Part Five — General terms
Governing law
These terms are governed by the laws of British Columbia, Canada. Any disputes arising from these terms or your use of our services shall be subject to the exclusive jurisdiction of the courts of British Columbia.
Severability
If any provision of these terms is found to be unenforceable or invalid, that provision will be limited or eliminated to the minimum extent necessary, and the remaining provisions will continue in full force and effect.
Relationship to other agreements
These Terms of Use, together with the other policies on this page, govern your use of our website and services. Treatment is additionally subject to the informed consent and release you complete before your first appointment. Where a specific policy on this page addresses a matter in more detail than these Terms, that policy applies.
Updates to these terms
We may update these terms from time to time. The revision date at the beginning of these terms reflects when they were last revised. Continued use of our website or services following any update constitutes acceptance of the revised terms.
